The room categories listed above were selected by Ashley and Andrew for their contracted room block. There are only a certain number of rooms available and are on a first-come, first-serve basis.

The rooms within the block are reserved for July 26th - July 31st, 2023. We can absolutely book dates outside of the reserved dates, this just results in a slightly longer confirmation time as we await the confirmation from the hotel.


PAYMENT SCHEDULE & IMPORTANT DATES
A minimum deposit of $400 is due upon reservation confirmation in order to officially secure your room within the room block. 
Travel insurance must be purchased no more than 21 days after you've booked your room.

We will send you a reservation invoice approval containing the terms and conditions for your reservation, along with the details for your room.
 
We require that you review, approve, sign and submit it back to us before we will process any payments towards your reservation, along with the deposit to officially secure the room.

  • A single occupancy room request (all group rates based on double occupancy)
  • For any additional room categories not listed or held in the group block
  • If you are booking after the deadline (held space is released at the deadline)

The names on your passports must match your airline tickets exactly.

CONFIRMATION

Once we receive your registration form, we will put your room on hold and send you an invoice that will require your approval. As soon as you have approved the invoice, we will place a deposit on your trip and get your trip booked.

BOOKING WITHIN THE BLOCK

To be considered a part of Ashley & Andrew's wedding block, you must book through this group room block and NOT through any other method (even directly with the hotel).
The room block is only available through Susan's Travel Services.

Booking within the room block makes you eligible for the exclusively discounted group rates. These rates apply to the selection of rooms we currently have reserved for the wedding guests to ensure ease of booking.

Please keep in mind that the rooms within the block are available on a first come, first serve basis, so please be sure to book as soon as possible to maintain your eligibility for the discounted rate!

CANCELLATION POLICY

You must cancel your reservation by May 12th, 2023, or before your reservation is paid in full (whichever comes first) to get a full refund (minus insurance cost and a $100 cancellation fee per room, not per person).

Without insurance, all cancellations after May 12th, 2023 will be considered in full penalty, leaving you responsible for 100% of the cost of your room, any cancellation and/or late fees, and ineligible for a refund.

CANCELLATION PENALTIES: Pertaining to the room portion of your trip; once your reservation is paid in full, the penalty is 100% unless you have purchased cancel for any reasons insurance. As a reminder, final payment is due in full on May 12th, 2023. The aforementioned is per person or entire room canceling (so if 1 person within the room cancels these same rules apply for that person). 

Cancellations with travel insurance require filing a claim to receive a refund and is at the discretion of the insurance agency alone. 

Susan's Travel Services is not an agent of the Hotel and has no control over refund policies and other rules mandated by the Hotel


PASSPORTS

You must have a passport to travel to Cancun.
It must be valid until January, 2024

 

It is Time to Check your Passports!

Make sure that you know where they are and ensure that your NAME, DATE OF BIRTH, and BIRTHDATE all match your ID. If you need to make any changes, please do so as soon as you can. This is imperative in being allowed to board your plane, as well as safety and ease while you are in different country, as well as ensuring that your return home is as safe, quick and efficient as possible.

Transportation

 

We are happy to provide Transfers with LOMAS!

Enjoy luxury, private, round trip (or one way!) nonstop transfers between the Cancun Airport and your hotel. If you are interested in booking your transportation now, you can do so HERE!

If you would prefer to use Uber or a 3rd party transportation service, you are absolutely welcome to. We find that Lomas provides the highest quality service, comfortable, luxury car and group transportation options. Lomas is the preferred option of our agents for their own personal travel.

 
TRAVEL PROTECTION
(optional but highly recommended!)

Travel Insurance may cover between 75% – 100% of trip cancellation and many other things like unexpected medical expenses, baggage, and flight delays.

**If you have any questions about the insurance please give Travel Insured a call at 1-800-243-3174.
We (Susan's Travel Services) are not a licensed insurance company and can not legally answer any insurance-related questions.**

You are also welcome to purchase Travel Insurance through any company that offers travel insurance.

The Cancel For Any Reason is available as an Add-on (make sure you click if you want it to cover COVID) -- However, you must purchase the insurance no later than 21 days from the day you make your reservation. Please note: CFAR is NOT available for New York State residents.

IMPORTANT: Opting out of purchasing travel protection could result in the loss of your travel cost and/or require more money to correct the situation. Without the protection, there may be no way to recoup any losses, costs, or expenses incurred and the price of Travel Protection IS NOT included in the price of the room selections and is non-refundable.

Once your room is confirmed, we can provide you a quote for travel protection as requested.

There are different kinds of policies to choose from and since we are not insurance agents and therefore cannot answer questions regarding any travel insurance policies we have found that this is the easiest way to compare them.

All you need to do is answer a few questions and you’ll receive an email containing a link for your policy options and pricing. This link will give you different plan options as well as available coverage for other areas of your trip.

This is the insurance company we personally like and suggest but you are welcome to purchase Travel Protection through any entity that you choose.

 

You don't have to pay all at once! Book early and enroll in our Monthly Payment Plan- it's interest free and lets you forget about keeping up with a hectic schedule.

FREQUENTLY ASKED QUESTIONS

DO YOU OFFER TRAVEL INSURANCE?

Yes. We offer “Cancel for ANY reason” insurance with your room block. It is the only insurance that will cover COVID! It covers cancellation up to 48 hours BEFORE you travel and you get back 75% of the cost of the trip. If not, we also sell insurance that is canceled for "covered reason" ask us how! Contact Susan Green and her Team!

 

DO YOU BOOK AIRFARE?

We do not offer airfare through our room block at this time. We recommend using GoogleFlights in order to compare different airlines, flight times and dates, pricing and more!

 

CAN I ADD SOMEONE TO MY ROOM?

Yes. You can always add a person to your room after your reservation has been made as long as it doesn’t go above the room occupancy limit. If you’re waiting to make a reservation because you’re not sure if someone will be with you in the room, we suggest you go ahead and secure your reservation now and then add them later.

The FINAL day to make any adjustments to your room is 30 DAYS PRIOR TO YOUR DEPARTURE, and requests must be made in writing via email and the change form provided to you. Change requests cannot be processed until the signed change form is submitted to us.

 

CAN I SWITCH THE PERSON IN MY ROOM

Yes. Please send us an email containing the name of the guest to be removed along with the name of the new guest (as it appears on their passport), their birthday, and email address.

Once we have this information and request in writing and your signed change request form back, we will make the adjustment.

 

OH NO! SOMETHING HAPPENED AND I CANNOT MAKE IT. WHAT DO I DO?

If you can’t make it to the wedding, please send an email to us as soon as you know (we MUST have this in writing). Please inform us of your need and request to cancel your reservation. We will send you the cancellation request form and require that to be returned to us as soon as possible. Once we receive that back, we sill send the notice over to the hotel. Upon approval from the hotel of cancellation, we will send you an email with that confirmation.

If you cancel before March 18th, 2023,  you will receive a refund your deposit (minus insurance).
If you cancel on or after March 18th, 2023 (without insurance!), a cancel fee of $100 per room and any/all penalties will apply.

 

I WOULD LIKE TO STAY AN ADDITIONAL NIGHT BEFORE/AFTER THE ROOM BLOCK. HOW DO I DO THIS?

If you would like to stay for additional nights, please send us an email requesting the change. We require this request in writing. We will then send you a change request form that we require you fill out, sign and submit back to us in order to send the request to the hotel.

 

ELECTRONIC DOCUMENTS

You will receive your electronic documents for travel approximately 1 month before your departure date. 

 

HOW LONG DO I HAVE TO MAKE ANY CHANGES TO MY RESERVATION?

Any and all changes must be requested no less than 30 days prior to your departure (unless you have insurance).

These changes include (but are not limited to):

        • Name changes
        • Date changes (extensions, removing nights, etc.)
        • Adding or removing passengers from your reservation
        • Booking an extra room
        • Etc.

TERMS & CONDITIONS

 

By supplying credit card and personal and passenger information, the client and passengers are authorizing agent(s) to complete work as hired including communicating such information to suppliers as required as part of the quoting and booking process.

Clients agree to follow payment structure including deposits and final payments as outlined by the supplier; failure to remit final payment at the deadline is a loss of any pre-paid funds and results in cancellation of any booked services (non-refundable). The client understands flights & itineraries could revise/change without notice and are at the discretion of the supplier as per terms & conditions.

Client(s) are expected to review and understand Terms & Conditions of agent(s) and vendor(s) at time of quoting and booking for all items; regardless if supplied by agent and/or listed as additional information vendor(s) documents and/or website(s).

Client(s) are responsible to ensure all supplied information (names, proper spelling, date of birth, passport information, etc.) matches all documentation required for travel. Travel documentation must be valid before travel, during travel, and must remain valid 6-12 months post-travel per destination entry requirements.  

All destination & return entry/travel information can be verified/reviewed on official destination websites, or re-entry to the United States by visiting HERE. All entry/travel requirements could change without notice and are not fault or responsibility of the supplier and/or agency. Should any United States or destination requirements change, the client is financially responsible for any/all associated fees or penalties from vendor and agent.

If travel documentation (passports, identification, visas, etc.) are not verified and/or available, or valid at the time of booking, the client(s) is financially responsible for all associated fees or penalties from vendor and agent in order to make appropriate corrections and/or changes with vendor(s).

Thoroughly review all itinerary and documentation as supplied by agent(s). The client is responsible to report any errors or corrections within 12 hours of the issue. At 12 hours, any and all changes are subject to a $50 fee per person/per correction agency fee and are in addition to any supplier fees or penalties.

COVID RESTRICTIONS:

Agent(s) will inform the client(s) of any travel requirements as documented at the time of itinerary communication. Onward, it is the responsibility of the client(s) to monitor for changes for dates, locations, itineraries, requirements, etc.; Client(s) are expected to re-verify all information leading up to travel while traveling, and before returning home as policies/situations can evolve quickly within United States and abroad.

Fees: (taxes extra)

Cancellation $100 per room a the deposit has been paid.

ALL fees are non-refundable and non-negotiable; regardless if the source of change(s), revision(s), and/or cancellation(s) are due to; actions of vendors, travel warnings, government policies, border agent decisions, ‘act(s) of god’, weather, client decisions, agent policies, and/or revisions due to Covid restrictions. Fees are charged at time of work required.

Client(s) are additionally responsible for any further charges or fees issued by travel vendor(s) per their terms & conditions.

Fees(s) cover the agent(s) services as requested/required for work completed within regular business hours (as advertised). 

All change and/or cancellation fees are charged as required, are pre-authorized by this agreement, and are in addition to previously charged service and/or planning fees.
