Hello!  I am the travel agent handling your group reservations at Luxury Bahia Principe Akumal All-Inclusive Resort in Mexico from January 4-11, 2024.  Please book your room through this group block to ensure you are included as part of the group and so that the entire group can benefit from your reservation.  Please see below for resort information, secured group rates, and steps to receive a quote.

Guest rooms and secured group rates for this group are available for guests exclusively through Sara Matuszak with Have Ring, Will Travel. 

A limited number of the selected room categories listed below have been held from January 4-11, 2024, and a 3-night minimum stay is required.  Please Note: Once the rooms held in the group block have been booked additional rooms can be added if available, but the group rates are no longer guaranteed.  Upgraded rooms are available upon request & subject to availability and pricing at the time of booking.  

A $200 non-refundable deposit is required to secure your room. After your deposit has been processed you can set up a payment schedule to make payments.

The rates below are per person/per night including all meals, beverages including alcohol, and taxes, and based on the number of people in the same room.  

Occupancy refers to the number of adults in the room; single is one adult, double is 2 adults, and triple is 3 adults.

Deposit of $200 (non-refundable) is due to book (plus the cost of insurance, if chosen).

All rooms must be booked by October 13, 2023. No rooms will be available from October 14, 2023 and beyond

Non-refundable final payment will be due October 13, 2023. Payments made after October 13, 2023 will result in a penalty of $25 per day assessed by Have Ring, Will Travel or Hidden Gem Travel.

Cancellation penalties:

  • Balance non-refundable payment will be due October 13, 2023
  • $25 per person administrative fee for any changes needed after the initial deposit is paid 
  • $150 administrative fee per cancelation after the initial deposit is paid 

All unused room nights will be released on or before October 14, 2023.

Passport Information: ALL US Citizens MUST have a valid passport to travel outside of the United States. Passport must be valid for at least 6 months after the return date. You assume full and complete responsibility for checking and verifying any and all passport, visa, vaccination, or other entry requirements of your destination(s), and all conditions regarding health, safety, security, political stability, and labor or civil unrest at such destination(s). Updated Environment Sanitation Program Fee
As of March 1, 2022, a beneficial tax of $28.87 Mexican pesos (approximately $1.42 USD) will be charged per guest per night. The newly mandated tax is not included in the daily rate and shall be paid directly to the hotel. Rate is subject to change until check-in.

Travel Protection Plus~ Travelers will receive the best pre-departure benefits in the industry that include our incredible Cancel For Any Reason† feature. Add Travel Protection Plus to any group reservation within 7 days of booking. Please note for Contracted Groups the Travel Protection Plus plan pricing is not guaranteed at the time of signed group contract. Each booking choosing to purchase Travel Protection Plus within a contracted group is subject to the rate available at the time the individual bookings are made.

All Travel Protection Plans include:

  • Cancel the vacation, for whatever reason, and you're covered - Cancel for ANY reason. Plus, no change fees and a hurricane travel credit. Non-refundable hotel rates are not included.

  • Worry less about travel mishaps - Now up to $3,000 in catch-up expenses if the trip is delayed 6 hours or more (previously the maximum was $500), up to $300 if bags are delayed, up to $1,000 for lost belongings, and up to $50,000 reimbursement of medical expenses if you get sick or hurt during your trip, plus up to $75,000 for emergency transportation.

Travel Protection Options:

  • Travel Protection Plus - Cash Refund - ($139.99 to $284.99* per adult) - this plan is for travelers who would want to receive a full refund in the original form of payment if plans change and need to cancel.

  • Travel Protection Plus - Full Travel Credit - ($49.99 to $124.99* per adult) - this plan is for budget-conscious travelers. Same great Travel Protection Plus coverage, just a lower price point. Perfect for those travelers who know they will travel, but need some flexibility.

    Notes: Adults are defined as 13 years and older at time of travel. Pricing for children 12 years and under varies based on Travel Protection Plan selected for the adults ($24.99 to $114.99). Travel Protection Plus is non-refundable once purchased and overrides the ALG contract terms for the protected traveler. Travel Protection Plus covers all air (Exclusive Nonstop Vacation Flights, Contracted Blocked Air, and Individual Scheduled Air Add On) when packaged with hotel. Travel Protection Plus is available to only those travelers within a reservation that want it; however, doesn't cover any increase in package costs due to changes in hotel occupancy.

    (~) Travel Protection Plus does not protect a group's scheduled air contract (inventory and price) in the event the minimum requirement of 10 seats (or as specified on the group contract) is not met. New air prices may be issued by the airline and original airline cancellation penalties may apply.

You have three options for transfers:

1) There are shared transfers included in the room rate you see above. These shuttles will stop at other resorts on the way to yours and we cannot guarantee that you will not spend hours on the shuttle before arriving at Luxury Bahia Principe Akumal. However, they are included and if you're on a budget this will be your best option.

2) We will arrange non-stop private transfers for those who would like them. We cannot arrange these private transfers until we know when everyone is arriving (guests will be grounded by flight).

3) You are not required to use the transportation that we can arrange for the group--feel free to opt for your own selection.

Reservation Cancelation Policy

If you cancel your reservation before **GROUP DEPOSIT DATE** , you are only responsible for a $100.00 per person cancelation fee. However, you can reduce the number of nights on your reservation up until this date without incurring a cancelation fee.

If you cancel your reservation between **BETWEEN GROUP DEPOSIT DATE AND FINAL PAYMENT DATE** , you will be responsible for 30% of your reservation total. Also, if you reduce the number of nights on your reservation between these dates, you are responsible for 50% of the nights reduced. If you have travel insurance you can file a claim to get a refund based on their terms.

If you cancel your reservation or reduce the number of nights on your reservations on or after GROUP FINAL PAYMENT DATE , you are responsible for 100% of your reservation total. If you have travel insurance you can file a claim to get a refund based on their terms.

Additionally, the resort will not allow the following modifications after GROUP FINAL PAYMENT DATE :

  • Downgrading a room category
  • Decreasing the number of nights on your reservation
  • Removing a guest from your reservation (reducing the occupancy of your room)

This resort will not allow any changes, including name changes, to your reservation after 30 DAYS BEFORE TRAVEL .

What can you do with your reservation between GROUP FINAL PAYMENT DATE and 30DAYS BEFORE TRAVEL ?

  • Upgrade your room category, if an upgraded room category is available
  • Add extra nights, if additional nights are available
  • Add an additional guest or make a name change

The resort will not provide a travel or credit voucher if you arrive after your scheduled date, check out early, or do not travel on the dates selected on your reservation for any reason.

Hidden Gem Travel is not an agent of the resort and has no control over the refund policies and other rules mandated by the Resort.

If you do not purchase travel insurance and have to cancel your reservation you may still have to pay a partial penalty up to the full amount of the reservation plus the $100.00 per person cancelation fee.

If you purchased a travel insurance policy and have to cancel you will be refunded by the travel insurance company according to the travel insurance guidelines minus the non-refundable premium paid to the travel insurance company, but you are still responsible for the $100.00 per person cancelation fee.

Once a reservation is booked there is a $100.00 per person cancelation fee with no regard to the reason for the cancelation. The cancelation fee applies to cancelations that result in a re-booking.

To be considered part of ((BRIDE & GROOM))'s wedding group, you must book through this group room block and not through any other method (even directly with the resort). We offer group rates and have secured a room block to make this as easy as possible. To participate in the wedding weekend events, you must stay at ((RESORT)).

If you stay at a different hotel/resort other than ((RESORT)) you will be considered a Non-Guest and will be charged an additional fee of $65.00 per adult. Children up to age 12 will be charged an additional fee of $35.00 per child. Children 13 and older will be charged the adult rate of $65.00. Guests 18 years old and older are required to present an official ID to access the resort. These guests are welcome to arrive 30 minutes prior to the ceremony and must be off the premises 30 minutes after the last event of the day.


Room Reservation FAQs

  1. Where can I find ((BRIDE & GROOM))'s wedding website & registry? You can find their wedding website here. 
  2. Do I need to make dinner reservations? ((RESORT RESTAURANT INFORMATION)) 
  3. Can I use a different credit card to make a payment? Aboslutely! You can fill out our payment form at this link any time to update your payment information: Payment Link
  4. Can my roommate(s) pay for their portion of the room on a separate card or does it all have to be on one card? Yes, your roommate(s) can pay with their own card. Please make a note in the "Comments" box on the form, and tell us who else will be paying. You can then submit their credit card information through this form.
  5. Can I make additional payments before the final payment date? Yes, you can! We send a monthly statement with your current balance and a payment link to optionally submit additional payments.
  6. I submitted my reservation but didn't immediately receive an invoice approval. All reservation requests are processed manually by our travel agency. When you fill out a reservation form or a payment form, you do not automatically have a room or payment automatically applied. We typically send your invoice approval and receipts within 1 business day. However, if payment is submitted outside of normal business hours or over the weekend, it can take a day or two to process. Charges to your card can take up to 3-5 business days to clear on your credit card statements.
  7. Can I add someone else to my room after I make my reservation? Yes. Just send us an email with the guest's legal name as it appears on their passport, date of birth and their email address. Once we have this information we can make the adjustment for you. If you're just switching names on a reservation, the $100.00 per person cancelation fee will not be charged to the guest being removed from the reservation.
  8. I can't make it to the wedding, what do I do now? We're sorry you can't make it, but we understand things happen. Please send an email with the request to cancel your reservation. We'll send a cancelation form you'll need to fill out, and a payment link for the $100.00 per person cancelation fee. Once the form is submitted and the fee is paid, we will cancel your reservation.

    If you purchased travel insurance and have to cancel you will be refunded the amount according to the travel insurance policy guidelines minus the cost of the insurance premium.

    If you did not purchase the travel insurance, you may still be responsible for additional fees above and beyond the $100.00 per person cancelation fee which could possibly be the full cost of your reservation.

  9. I don't see way to RSVP on this website. How do I do this? We have no way of guests being able to RSVP on this page. You can RSVP at the couple's wedding website (listed above), though many guests just notify the couple directly.
  10. Will everyone in our group have rooms next to each other? While we always request this, we cannot guarantee all guests will be next to each other. This is dependent on the room categories booked, as rooms are in different parts of the resort.
  11. Can I request a room next to someone else? Yes, you can always request to be next to another guest, though requests cannot be guaranteed. We have found there's a higher chance if you both make the same request and book the same room category.
  12. Does the transportation company have car seats available? ((INSERT INFO ABOUT TRANSFER COMPANY'S CAR SEAT POLICY))

When filling out the registration form, make sure you are entering names as they appear on your passport. The names on your passports must match your airline tickets exactly. Passports must be valid for 6 months after travel. 

Once I receive your registration form, I will put your room on hold and send you an invoice that will require your approval within 24 hours. As soon as you have approved the invoice, I will place a deposit on your trip and get your trip booked.
